Overview


The Workflows page in Chatavise gives you a central location to manage all of your automated processes. A workflow is a series of automated actions triggered by an event—either inside Chatavise or from an external integration like a CRM or Zapier.

With workflows, you can:

  • Send automated text messages

  • Schedule reminders for your team

  • Auto-assign team members

  • Auto-tag contacts for future campaigns
    These tools help replace repetitive manual communication tasks with streamlined automation.




Accessing the Workflows Page

  1. From the top navigation menu, go to Automations.

  2. Select Workflows from the dropdown menu.
    This will display a list of all workflows for your account.


Understanding the Workflows Table

Each row in the Workflows table contains key information about an individual workflow:

  • Name – The workflow's title.

  • Activation Triggers – Events that start the workflow, such as:

    • Link clicks

    • Lead form submissions

    • Keyword texts

    • CRM updates

    • Zapier events

  • Actions – Every workflow must contain at least one action, such as sending a text or assigning a team member.

  • Locations – Indicates the business locations assigned to the workflow.

  • Status – Shows whether the workflow is On (active) or Off (inactive).
    Toggle the switch to enable or disable the workflow.

  • Options Menu – Access options to:

    • Edit the workflow

    • Clone the workflow


Searching for Workflows

If you have a large number of workflows, use the search bar to quickly filter them by name.


Creating a New Workflow

  1. Click Add New in the top-right corner.

  2. Enter a name for the workflow.

    • Good naming conventions often reference the trigger or purpose, e.g.,
      “Field Service – Job Completed”

  3. Click Save to open the workflow builder.
    From here, you can start adding triggers and actions.


Cloning an Existing Workflow

If you want to replicate a previously created workflow:

  1. Click the Options Menu next to the workflow.

  2. Select Clone to duplicate it with the same settings and actions.
