Calendly is a great tool for cutting down the back and forth that comes with scheduling meetings. Instead of back-to-back communication with someone you'd like to have a chat with about what times you're both available, you can simply send a link with your calendar and availability and let them pick the best time for them!
Calendly becomes an even more impressive tool when you connect it with Chatavise. Connecting Calendly to Chatavise allows you to send out automatic reminders about scheduled meetings; you can even send follow-up messages after the meeting to touch base one last time, or perhaps even set up your next meeting.
It's easy getting connected with Calendly! Make sure you have at least the lowest tier paid version of Calendly before starting. Paid versions of Calendly include webhooks which allow Calendly to connect to Chatavise and pass events through (such as a meeting being scheduled) and schedule automatic message responses.
Start by heading to the Platforms page from the Automations dropdown (hint: if you do not have access to the Platforms page, reach out to an admin about upgrading your permissions).
From here, you'll see a list of some integrations Chatavise has available. Click on the Connect button below the Calendly option.
This page will fill up with Calendly events once Calendly has been connected with Chatavise. If you aren't yet connected, you'll see a "Let's get started" graphic pop up. Click on the Connect with Calendly button.
Clicking on this connect button will pull up Calendly. If you're not logged in, you'll be prompted to log in first.
Once you're logged in, Calendly will ask you one more time if you'd like to connect your account. Hit the connect button and you'll be set.
You're now connected to Chatavise! There are a couple more steps to make sure that your Calendly integration runs smoothly.
First will be to check that real-time notifications has been turned on for this integration. You can check and toggle this at the top right of the page, just below the Setup Meetings button.
Once real-time notifications have been toggled on, it's time to match Calendly member profiles to Chatavise user profiles. Click on the Members tab below the real-time notifications box.
Here, you'll see a list of saved members from your connected Calendly account as well as their listed role.
Users that have not yet had their Calendly and Chatavise profiles matched will have "No assignment" by their name. Click on the plus + button beside "No assignment" under User.
Clicking on this plus button opens up a window that allows you to choose from available Chatavise users to match this Calendly member. Match the relevant user to this Calendly member. The pop up will close once a user has been selected.
Once users have been assigned and matched, and real-time notifications have been turned on, you're all set and connected to Calendly! Events that are passed through will start to pop up on this page under the Activity tab.
Activity will show the date an event was pushed through, the status of that event (success vs fail), and the error code that pops up if an event fails.
If you notice a Calendly event has failed to go through, you have the option to hit the replay button beside the event to try and push it through again.
If you notice that an event is still failing to push through even after an event replay, you can reach out through our ticketing system by hitting the question mark at the top right of the page, or by emailing us at success@chatavise.com and we will look into it further.
You can send in the payload by hitting the payload dropdown beside the failed event, and copy/pasting the information in your email with us.
