One of the biggest new features coming to Chatavise is the Referrals program. Referrals allows your customers to share their own personalized links with friends, family, neighbors, or coworkers they know that may be looking for a service like yours. Customers that are able to successfully refer new customers receive rewards, new customers can be offered service discounts to get them started, and you can earn brand new customers without actively doing anything on your end.




Here's a peek at our Referrals dashboard. From here you'll be able to keep track of all your referral progress. You can get to the Referrals dashboard from the Marketing dropdown menu.


If the Referrals page is not immediately available to you, you will need to change your referrals permission status from the Users page. Head to the Users page from the Manage dropdown menu.


Search for your user profile and click on it. Click over to the Permissions tab, scroll down for "Referrals: Manage" and flip the switch on. You'll now be able to access the Referrals page. 


There is a lot of information available from the Referrals dashboard including statistics on conversion rates of referral customers. Requests covers how many referral message requests have actually been sent to satisfied customers versus how many of those request links have been clicked. 


Links will help you keep track of how many of your customers have sent their unique referral links to friends and family who may use your service. Links will also keep track of how many of those links are then clicked. Lastly, Leads will keep track of how many future customers have requested jobs (Submissions) versus how many of them actually follow through with service (Conversions).



You'll also be able to keep track of where these newly referred customers are coming from, whether that's through text, copied links, or a QR code.


Lastly, you'll have access the which customers are sharing referral links with their friends and family. From the Referrals dashboard you'll be able to keep track of the customer names tied to Shares, Leads, and Conversions.



Before we can populate information in the Referrals dashboard, we need to get referrals up and running. You can start by heading to Referrals Setup, accessible from the top left of the screen.


From here, you'll be able to control the messages that potential new customers will see when they're sent one of your original customer's unique referral links or scan a QR code. You can customize the message received through all three ways of sharing referral links: texts, copied links, and QR codes. You also have the ability to control which location(s) use which text when sending referral links. 


When first getting started with referrals, Chatavise gets you started with a placeholder message template. To edit this message, click on the pencil icon on the righthand side of the page beside the relevant link sharing method.


Once you've clicked the pencil icon, the message box and location selection will appear. From here you can write the message of your choosing in the message box, and select which locations you'd like to apply it to from the dropdown menu. 


To save the changes made, click on the red Save button located to the right of the message box.


If you've changed your mind about writing a new message template, you can hit the cancel "X" button immediately beside the save button. You can return to edit this at any time.


This Link Share Setup page gives you the option to customize the text for all individual forms of link sharing. If you'd like your QR code link to say something different than the copied link, you have the ability to control that from this page.


After setting up your messaging templates for shared links, it's time to decide what to offer your customers as a reward for finding new people interested in your business. Click on the Incentives tab to get started.



Incentives are completely customizable and up to whatever you'd like to offer your loyal customers. Examples include a $25 Visa gift card, 10% off their next order, a meal voucher, and more. If you'd like to add a new incentive, click the Add Incentive button to the right of the screen.


From here, you can insert the name of the reward you'd like to offer, and select the locations you'd like to apply this incentive to. Once your happy with your reward, click the Save button and you'll be good to go.


Your new referral incentive will now populate the Incentives page. 

If you ever need to edit the incentive you're offering, just click the pencil edit icon to the right of the page. 

You can only have one incentive per location. However, you may also have different incentives for different locations. If you try to add an extra incentive to a location, Chatavise will set the most recently added incentive as the active one.


Once we've finalized the Incentives chosen to offer those who try to refer new customers, it's time to set up Offers for the new customers interested in your services. Offers and Incentives are going to be quite similar in terms of setup; the major difference between the two is that Incentives are rewards offered to your current customers who successfully refer a new customer, and Offers are rewards offered to these new customers being referred to you.


Start by heading over to the Offers tab.



When recommending Offers, it's suggested to incentivize new customers to book by giving them a percentage off their order when they book. This is another way to convince them to book that first job. Offers are, however, just as customizable as the Incentives are. You may offer these new customers whatever you'd like as a reward for booking.


When you've decided what you'd like to offer, click the Add Offer button at the top right of the screen.


Write down what you'd like to offer, select the locations you'd like to apply this offer to, and select the Save button when you're done.


If you'd like to edit any Offers you added to this page, you can click on the pencil edit icon to the right of the screen. 

Make any changes you need to the text or to your location selection, and hit the red Save button to save any changes.


You can only have one offer per location. However, you may also have different offers for different locations. If you try to add an extra offer to a location, Chatavise will set the most recently added offer as the active one.


From the Lead Form Settings page, you'll be able to control the text on the page that potential new customers see when they click on a referral link and try to follow through with booking an order. This will function much like the Incentives and Offers in terms of set up. Start by clicking the Add setting button at the top right of the screen.

Type in the message template of your choice, select which locations you'd like to apply this setting to, and hit the save button.


You may have one lead form setting per location. If you'd like to create a new lead form setting for each location, simply add in the message of your choice like shown above, select the relevant location, and hit save.


If you'd like to edit any of your lead form settings, click on the pencil editing icon to the right of the screen. If you'd like to delete any of your lead form settings, you can click on the trash can icon beside the pencil edit icon.



Once your share link messages, offers, incentives have been set up, you can get started with referrals officially by setting up an automated stream on the Automations page. Start by heading to the Automations page from the Manage dropdown menu.


From Automations you'll head to the Streams page.

Here you'll see a list of all your currently used Streams. We will need to make a new stream today in order to start sending out referral texts.


To start building a new stream, click the new stream button available at the top right of the page.

From here, you can give the new stream a name. Something along the lines of "Referral" may work best to help you keep track of what the stream controls. Once you've named your new stream, click the Save button to continue.


The newly named stream will now populate on the main Automations page. Click on the pencil editing icon to the right of the new Referrals stream to get started setting everything up.


The first step will be to select a trigger. A trigger is an event or events that's tied to the referral message to be automatically sent out. It's recommended to send these referral texts to customers who have left positive soundingboard feedback. 


Click on the pencil edit icon, and click the Add button beside the Chatavise logo.



You can use the search bar and type in "positive" to populate the triggers search. Flip the switch beside the trigger listed as "Positive soundingboard post received" and click the X button to back out. 


Next step will be to add the scheduled message including the referral link. Start by clicking the + button just below the Triggers box.


When asked to select a platform, click on the Chatavise option. 


You'll then be asked to select from Available actions. Click on the actions dropdown and select "Schedule a message". Once selected, hit the Save button.


You will now be able to go back and edit this scheduled message. Click on the pencil edit icon once again to open the scheduled message editing page. 



From here you'll be able to add in the message template of your choice, as well as any relevant photos or links, and select how long you'd like to wait to send this message. Below is an example of how the referrals message is set up for Stanley Steemer Atlanta:



Once you've set up your message with the appropriate message and wait period, hit the save button and you'll be set on this page. Your last step will be to select the locations you'd like to send out these referral messages. To do so, click on the map pinpoint button located to the top left of the screen.


From here, you'll see a list of all of your locations. To add a location to the stream, simply press the + button beside the location(s) you'd like to add. Clicking this button will move that location to the list of connected locations.



Once everything has been set up on both the Referrals and the Streams page, you'll be all set and sending automated referral messages before you know it!
