The Reminders page in Chatavise is part of the Speed to Lead product suite. Reminders are tasks you can create for a contact or lead, allowing you to assign follow-up actions to yourself or your team members for a future date. This guide walks you through how to use the Reminders page, create reminders manually and via workflows, and manage your team's follow-up tasks.
What Are Reminders?
Reminders help you keep track of tasks that need to be done for specific contacts or leads. Unlike automated messages, reminders are designed for actions that require a personal touch — such as calling a customer, sending a follow-up email, or delivering something in person.
Common use cases for reminders include:
- Following up with a lead who requested a callback
- Reaching out to a customer after a service is completed
- Sending a personalized message that shouldn't be automated
- Assigning tasks to team members for accountability
Creating a Reminder from the Lead Section
To create a reminder for a specific contact or lead:
- Navigate to the Lead section in Chatavise.
- Open the contact or lead you want to create a reminder for.
- Click Create Reminder.
- Assign the reminder to yourself or a team member.
- Set the date and time — for example, the 14th at 10 AM.
- Click Create.
The reminder is now created and will appear on the Reminders page.
Using the Reminders Page
The Reminders page displays all reminders across your account. You can access it from the Speed to Lead menu.
Filtering Reminders
You can filter reminders by:
- Status — View open or completed reminders
- Date — Filter by all time or a specific date range
These filters are cached, so they'll persist even if you navigate away from the page and return later.
Managing Individual Reminders
From the Reminders page, you can:
- Click the contact — Opens their chat so you can communicate directly
- Update the reminder — Modify details or mark it as complete
- Delete the reminder — Remove it entirely
- Go to the lead — If the contact is associated with a lead, navigate directly to it
- Add a note — This note is added to the contact's profile for future reference
Completing a Reminder
When you've finished a task, you can mark the reminder as complete:
- Click Update on the reminder.
- Change the status to Complete.
- The reminder will update with the completion date.
The Reminders page also displays the due date for each reminder, making it easy to filter and prioritize by when tasks are due.
Adding Reminders to Workflows
Reminders can also be created automatically using workflows. This is useful for building follow-up sequences where your team needs to take action after automated messages have been sent.
To add a reminder action to a workflow:
- Open an existing workflow or create a new one.
- Click Add Action.
- Select Chatavise as the action type.
- Choose Create a Reminder for Contact.
- Enter the reminder text — for example, "Follow up with customer."
- Set a delay if needed — for example, one day after the workflow trigger.
- Click Finish to save the action.
When the workflow runs, the reminder will be created automatically for the contact and assigned to the specified team member. This ensures that even if your automation has reached its limit, a human follow-up is scheduled.
