The Quote Cycle workflow template in Chatavise automates follow-up communication when a quote is created in Jobber. Instead of manually chasing customers for quote approvals, this workflow sends a series of text messages over several days — and automatically stops when the quote is approved or removed.
This guide walks you through how to install the Quote Cycle workflow, customize the messages and timing, add optional reminder actions, and understand how reaction triggers work to stop the workflow when needed.
What the Quote Cycle Workflow Does
When a quote is created in Jobber, this workflow automatically begins a follow-up sequence designed to encourage quote approval without manual effort from your team.
By default, this workflow:
- Listens for the Quote Created event from Jobber
- Sends an initial text message with the quote payment link
- Waits two days, then sends a follow-up message
- Waits two more days, then sends a final follow-up
- Stops automatically if the quote is approved or removed
How to Install the Workflow
- Navigate to your Jobber integration page in Chatavise.
- Locate the Quote Cycle workflow template.
- Click Install.
The workflow is now installed but not yet active. This gives you a chance to review and customize it before turning it on.
Reviewing the Workflow Design
- Click on the newly installed workflow to open it.
- Select the Design tab to view the workflow structure.
You'll see the Quote Created event as the trigger, followed by text message actions and delay steps. If you want to learn more about how workflows function, click the Learn How To button inside the workflow editor.
Customizing the Text Messages
To edit any of the text messages in the workflow:
- Click the Edit button on the text message action you want to modify.
- Adjust the message text as needed.
The default messages include several message variables that pull data directly from Jobber:
- Customer's first name — personalizes the greeting
- Business name — your company name
- Payment link — the URL where customers can view and accept the quote
You can add, remove, or rearrange these variables to match your preferred messaging style. The payment link makes it easy for customers to accept the quote directly from their phone.
Adjusting the Delay Timing
By default, the workflow waits two days between each follow-up message. To change this:
- Click the delay action between messages.
- Adjust the timing — for example, three days or four days between messages.
- Click Save when you're done.
Tip: We recommend keeping the initial message set to send immediately after the quote is created so customers receive it while the quote is fresh in their mind.
Adding a Reminder Action (Optional)
If you'd like your team to receive a reminder to follow up manually after the automated messages have been sent, you can add a reminder action:
- Click Add Action at the end of the workflow.
- Select Chatavise as the action type.
- Choose Create Reminder.
- Enter the reminder text (e.g., "Reach out to customer regarding quote").
- Assign the reminder to a team member or multiple team members.
- Optionally add a delay before the reminder is created.
- Click Save.
This ensures that if the customer still hasn't responded after all automated messages, a team member is notified to follow up via phone, email, or another channel.
Understanding Reaction Triggers
The Quote Cycle workflow includes reaction triggers that automatically stop the workflow when certain events occur in Jobber. This prevents customers from receiving follow-up messages after they've already taken action.
Quote Approved
When a customer approves the quote:
- The workflow sends a thank-you message
- The workflow stops — no further follow-ups are sent
You can customize the thank-you message and optionally add a reminder for your team to schedule the job.
Quote Removed
When a quote is cancelled or removed:
- The workflow sends a cancellation acknowledgment message
- The workflow stops — no further follow-ups are sent
These reaction triggers act as a circuit breaker, ensuring the automated sequence doesn't continue after the quote has been resolved.
Tip: We recommend keeping these reaction triggers in place to avoid sending irrelevant messages to customers who have already responded.
Activating the Workflow
Once you're satisfied with the message content, timing, and reaction triggers:
- Toggle the workflow On using the switch at the top of the workflow editor.
- The workflow is now live and will trigger automatically whenever a new quote is created in Jobber.
